Koontz team looking to hire for office position

Administrative Assistant Job Description

Job Brief:

            As Administrative Assistant you will be responsible for providing administrative and secretarial support to ensure efficient operation of the office.  This job operates in a professional office environment in which standard office equipment (computers, telephones, photocopiers, filing cabinets, fax machines, etc.) are regularly used.  As Administrative Assistant, you will support fellow employees and customers through a variety of tasks related to organization and communication.  You will also communicate via phone and e-mail to ensure that all administrative tasks are completed accurately and delivered with high quality and in a timely manner. 

Position Type and Expected Hours of Work:

            This roll will be filled initially as a part-time position, with the projected goal of growing to a full-time position.  Beginning hours of work will be days, Monday through Friday, with exact hours to be determined, based on individual candidate.  Proven secretarial experience is preferred, but not required.  

Specification of Responsibilities:

  • Answer and direct phone calls
  • Maintain contact lists
  • Produce, edit and distribute memos, letters, faxes and forms
  • Assist in the preparation of reports
  • Maintain a filing system
  • Track and maintain office supplies
  • Provide general support to office personnel and visitors
  • Execute various local errands
  • Maintain order and cleanliness of office environment 

Requirements:

  • High School Diploma or GED equivalent
  • Excellent time management skills, including ability to prioritize work
  • Attention to detail
  • Problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Proficiency in Microsoft Office
